Searching Gray County Civil Dockets
Start at Kansas CaseSearch. Choose District, and search by case number when you have one. For a name search, set the county to Gray. Pick Civil, and add a filing-date range. Then confirm the case style, party roles, filing date, judge, and case number. A shared name alone does not prove you found the right person or organization.
The portal is only part of the picture. Angela Bowlin, Clerk of the District Court, keeps the Gray County District Court records. Papers missing online can be read at the courthouse terminal. They can also be requested through Gray County District Court. The office sits at 300 S. Main Street, Cimarron, KS 67835, and lists 620-855-3812.
- Choose District and the narrowest search type.
- Enter the exact case number, party name, or business name.
- Select Gray County and the suitable case group.
- Compare party roles, date, judge, and status.
- Request the exact public filing when the index is not enough.
Gray County Civil Case Groups
Civil is not a single docket. Kansas statistics split it into regular, limited, and domestic-relations actions. CaseSearch also adds Family. Probate or Mental Health counts as a broader group too. Internal codes like CV, LM, DM, and PR may show up. The number printed on your notice or the portal is the one that counts.
| Group | Typical public subject | Access caution |
|---|---|---|
| Regular civil | Contract, tort, and real property | Some exhibits or personal data may be restricted |
| Limited action | Lower-value contract and other claims | Read party roles and final order |
| Domestic relations | Status, parentage, and related matters | Many supporting documents are not online |
| Probate | Estate and other probate events | Sensitive filings may be withheld |
A category label helps narrow a Gray County search. It never promises full access to every document behind the label.
Inside a Gray County Civil Docket
A public docket result can list the case number, county, case type, filing date, caption, parties by role, counsel, assigned judge, events index, hearing settings, status, disposition, appeal entries, and links to accessible documents. Keep one limit in mind. The register of action is a running description of activity, not the complete case file.
| Case number | The court identifier, sometimes containing a code such as CV or LM. |
|---|---|
| Case style | The caption naming parties by roles such as plaintiff and defendant. |
| Event | A complaint, answer, motion, order, judgment, or other indexed filing. |
| Setting | A motion, pretrial conference, trial, or other hearing. |
| Status | The current system label, which must be read with later orders. |
Dismissal does not always decide the merits. A judgment can be stayed, modified, vacated, or appealed later, so read the newest operative entry before assuming where a case stands.
Gray County Civil Filing Picture
The official 2025 civil filings table counts Gray County filings. The year ended June 30, 2025. The total was 96. That figure breaks into 31 regular actions, 47 limited actions, and 18 domestic-relations actions. Contract, real-property, tort, and other categories made up the regular actions. The Kansas Judicial Branch filing publication carries the underlying table.

These are aggregate counts, not a party index. Never infer from the domestic-relations figures that a sensitive case or its documents sit open online.
Civil Case Types on the Docket
Regular actions cover contracts, property disputes, tort claims, and other Chapter 60 matters. Limited actions form their own state reporting group. On domestic-relations dockets you will often see petitioner and respondent instead of plaintiff and defendant. Probate covers estates, wills, guardianship, and conservatorship, with access varying by record.
Gray County's FY 2025 regular actions break out clearly. Two were contract filings. Seven were real-property, three tort, and 19 other filings. Limited actions included 44 contract and three other filings that year. These labels are court-administration categories only. They say nothing about the facts or result of any one suit.
Note: Confirm the case type and role in the register before drawing conclusions from a shared name.
Gray County Pretrial Practice
The Sixteenth Judicial District local rules offer a hint. They show what Gray County civil docket entries mean. Local Rule 1 applies to Chapter 60 cases. It requires a pretrial questionnaire or statement at least seven calendar days before a final pretrial conference. It covers claims, defenses, damages, discovery, pending motions, witnesses, exhibits, disputed issues, and trial time. A final pretrial event may address evidence, instructions, settlement, mediation, consolidation, interpreters, briefs, and the pretrial order.
That explains why such labels appear. It does not replace a current order. The assigned judge's notice controls the real deadline and setting.
Civil Docket Settings and Hearings
A setting is a scheduled court event, not necessarily a trial. The docket may show a motion hearing, status conference, final pretrial conference, bench trial, jury trial, or another proceeding. Match the event label against the filed notice or order, especially when the online description is brief.
- Motion
- A request for a ruling or court order.
- Continuance
- A postponement that requires court approval.
- Judgment
- The court's formal ruling, subject to later proceedings where allowed.
- Disposition
- The recorded resolution category, not always a full account of the result.
For a hearing coming up soon, confirm the date, time, place, and participation method with the clerk. The separate Gray County court dates resource walks through that check.
Gray County Civil Dispositions
The FY 2025 disposition table reports 102 Gray County civil dispositions. The count breaks three ways. Regular matters total 30, limited 50, domestic-relations 22. Disposition totals can include cases filed in an earlier fiscal year. The 96 filings came from the filing table. They did not all wrap up in the same period.
Regular actions show 13 conventional or settled-without-trial entries, 14 dismissals, and three uncontested or other entries. The limited-action row reads 19, 27, one, and three across the displayed outcome columns. These aggregates teach docket vocabulary. Only the judgment and later orders fix a particular case's posture.
Civil Docket Access Rules
Access to civil court records in Kansas runs through Kansas Supreme Court Rule 22. The rule opens the portal and the courthouse terminal to the public. It also locks listed sensitive cases and documents away from remote view. Expect thin results in family matters. Protection orders, child-welfare cases, adoption records, and related filings stay restricted. Probate and mental-health groupings work the same way. Care-and-treatment papers and guardianship documents stay restricted. They do not become public just because the case sits in that category.
The statute behind sealing, redaction, and closed proceedings is K.S.A. 60-2617, and the official view spells out those limits.

The statute leaves access questions to law, court rules, and specific orders. Keep two cautions in mind. A document missing from the portal is not automatically confidential, and a restricted item never turns public just because you use a different terminal.
Requesting Gray County Civil Filings
Some filings are public but simply not online. That complaint, answer, motion, order, or judgment still exists at the courthouse. Start by pinning down the Gray County case number. Note the exact document and its filing date as well. Then check Rule 22. Search the courthouse terminal, or send a focused court-record request after that. It never hurts to ask about redaction. It can split public material from restricted portions of the same filing.
- Verify the case and event in CaseSearch.
- Name the exact filing and its date.
- State whether inspection, an ordinary copy, or certification is needed.
- Ask the clerk to confirm cost and delivery method.
- Request the legal basis for any denial or withheld part.
Timing matters once a request goes in. Under K.S.A. 45-218, the custodian must act as soon as possible, and by the end of the third business day it must provide access, explain a delay, or deny the request. That deadline is a response rule, not a promise your copies arrive within three days.
Gray County Civil Search Checks
Run a few checks before trusting any hit. Match the case number, the party's role, the filing date, and the newest order against what you already know. Captions can mislead too. A named party may be a business, a trust, an estate, an agency, or one of many people with a common name. These habits keep a public Gray County civil docket search tied to the right proceeding and the current court record.
Watch the dates as well. The portal's document-availability date can lag behind the filing date. An event may be public but lack its paper. Ask the District Court clerk about terminal access or a focused copy request.
