Parties, case type, filed events, the judge, status, and hearing settings appear in the public activity record for Gray County, Kansas court cases. Start with the state public case portal and choose District Court and the county. A city ordinance matter stays with the municipal court instead. The clerk in Cimarron and the courthouse terminal cover records the portal does not show. Choose the court in the portal. A Gray County court docket search that does so returns the right activity record.

Gray County CaseSearch Fields

The form shifts a bit by court and search type. County is a conditional field. The search term and the human check are required. A file-date range filters by when a case began, so it will not find hearing dates. Use date of birth only when it is lawful and needed to tell similar names apart.

The portal can show an events index and a hearing date while keeping most filings offline. A visible event is never the whole case file.

Inside a Gray County Court Docket

Kansas rules call the basic chronological record a register of action. Access materials also say events index and case information. All three terms point to an index layer with enough detail to follow a case's progress. None of them promises that every pleading, exhibit, report, or order can be opened online.

Case NumberThe court identifier, sometimes with a year and type such as 2019CV25.
PartiesPublic names and procedural roles.
EventsDated filings, hearings, orders, judgment, or disposition.
SettingsPublished date, time, place, and event type.
Court and JudgeLocation and assigned judicial officer.
StatusOpen, pending, disposed, or another classification.

Case labels include CR for criminal, CV for civil, DM for domestic, LM for limited actions, PR for probate, and TR for traffic. A label inside the filing system does not guarantee every public result follows the same format.

Portal or Courthouse Terminal

Gray County docket access comes in two public layers. Kansas CaseSearch covers whatever may be released to the internet. Kansas Rule 22 also requires a District Court public terminal for records and events available at the courthouse but not online. Neither layer unlocks a sealed or legally confidential record.

Rule 106B restricts compiled or bulk information. Asking about one known case is different from asking the clerk to build a countywide person index or data set.

Courts That Keep Dockets in Gray County

Gray County sits in Kansas's Sixteenth Judicial District alongside Clark, Comanche, Ford, Kiowa, and Meade Counties. Gray County District Court is the state trial court here. It handles county criminal, civil, domestic, probate, juvenile, and district traffic cases. District magistrate judges serve within that District Court, not a separate county court. Appeals can climb to the Kansas Court of Appeals and the Kansas Supreme Court.

A municipal judgment can be appealed to District Court under K.S.A. 22-3609. Filing that appeal does not fold the original city docket into Kansas CaseSearch.

Gray County Court Sources

The county District Court page identifies the local clerk and the Sixteenth Judicial District.

This county source helps with local contact facts. The Kansas Judicial Branch runs the statewide search and sets court rules. The official courthouse listing adds a second court source.

Together, the two sources separate the local records desk from the statewide portal. That lowers the risk of sending a court request to a county-government office.

Gray County Motion Days

Sixteenth Judicial District local rules set Gray County motion days on the first, second, and fourth Tuesday, subject to scheduling conflicts. Hearings begin at 9:30 a.m., the rule file says, unless the presiding judge gives different notice. Those dated rules explain the local pattern. They do not replace a current case notice.

Confirm the setting. The current court notice and clerk control when a specific Gray County hearing occurs.

A motion-day event is not always a trial. It might involve argument, status, scheduling, or another request. Read the event label and the latest notice before you travel.

How to Find Court Dates and Settings

A search result can list event type, date, time, judge, location, and status. Begin with the case number. Then compare the portal entry against the newest court notice, since a continuance or reset can move a setting. The Gray County Court Dates page covers local calendar access and reminders.

Kansas also runs a hearing-reminder portal. A reminder is a convenience, not a court order. Missing a message never cancels the duty to appear. When sources conflict, call the clerk.

Setting

Continuance
An order moving the event later.
Reset
A new date or time.
Disposition
The result resolving a claim, charge, or case.

Gray County eCourt Transition

Kansas has been shifting courts onto a statewide eCourt case-management system. The Sixteenth Judicial District sits in a rollout track dated November 5, 2024. That date marks a transition. It does not prove every older Gray County filing was scanned or released online. Case age and the local start of the system both affect document access.

Kansas Courts eFlex is a filing portal for authorized users, not the public docket search. Filing a document and finding a public events index are separate tasks in separate systems.

Use CaseSearch to look. Use eFlex to file only when authorized. Ask the clerk for a public record unavailable online.

Gray County Filing Portal

The official Kansas eFlex page shows the sign-in path used by authorized filers.

Gray County court docket Kansas eFlex filing portal

The public screen makes the split plain. eFlex wants filing credentials; Kansas CaseSearch provides the public lookup. Nobody needs a filing account just to search a Gray County docket.

Public Access to Court Dockets

The Kansas Open Records Act and court rules both govern access. But public status does not put every record online. Juvenile, adoption, sealed, expunged, protection-order, and mental-health records stay restricted, and no courthouse terminal can override a law or order that closes material.

Key Kansas rules:

Rule 22 sets portal and terminal limits.

Rule 106B defines the register and limits compiled information.

K.S.A. 45-218 governs inspection and third-business-day response.

K.S.A. 45-221 identifies exceptions and separation.

Under the response rule, the office must grant access, explain why it needs more time, or deny the request. It never promises that a large file will be copied within three days.

Request a Gray County File

A strong request names Gray County District Court, the case number, the case type, the date range, the exact document wanted, and whether you need to inspect it, get a plain copy, or have it certified. The Kansas court-record KORA form offers several delivery choices and includes a noncommercial-use certification.

Ask for a cost estimate too. The county clerk’s copy rate for county-government material is not a District Court price. A Sixteenth District docket-fee schedule dated July 2020 is historical, so treat it as outdated rather than current. Certification and transcripts cost extra as separate products.

  • Give the exact case number.
  • Name the needed document or event.
  • Choose plain or certified copy.
  • Request secure delivery if needed.
  • Ask for the basis of a withheld portion.

Docket Records at the Clerk's Office

Angela Bowlin, Clerk of the District Court, maintains the Gray County District Court records: events, filings, orders, judgments, and copy requests all run through her office. The Gray County Clerk is a different office entirely, handling county-government records as the county’s Freedom of Information Officer. Send your request to the wrong clerk and access slows down.

State judicial offices commonly keep weekday hours of 8:00 a.m. to 5:00 p.m., but Gray County posts no confirmed counter cutoff. Call ahead before traveling for a certified file, transcript, probate matter, or old record.

Gray County Contact Directory

The county’s official contact directory helps distinguish court staff from other county offices.

Use the District Court number for any case record. The broader county line helps only when the material is a county-government record or the right office is still unclear.

Use the Correct Gray Clerk

Four separate systems can touch Gray County, and none share a database. The District Court clerk handles state trial cases. A municipal clerk handles city ordinance cases. The county clerk manages county-government material, while federal clerks and PACER handle federal litigation.

Check which government filed the charge or claim. A county prosecution points toward District Court. A city citation may point toward Cimarron, Ingalls, Montezuma, Copeland, or Ensign. A federal case belongs in the District of Kansas. The agency shown on a notice often matters more than where the event took place.

Gray County Federal Dockets

Gray County District Court does not hold federal matters. Search PACER or contact the U.S. District Court for the District of Kansas. PACER may charge under its current rules. Still, CourtListener RECAP sometimes offers free contributed copies that are neither complete nor official.

A federal appeal goes to the Tenth Circuit, not the Kansas Court of Appeals. State and federal counterparts keep separate case numbers. They keep separate records too.

Gray County Court Dockets by City

Cimarron, Montezuma, Ingalls, Copeland, and Ensign are Gray County’s incorporated cities. City ordinance and municipal traffic matters start with the relevant city; county or state cases start with District Court.

Confirm a Gray County Match

A name match alone proves little about a Gray County docket. Similar names show up in unrelated records all the time. So compare the details before trusting a result. Check the county, court, case number, filing year, case type, party role, and current status. A business may also be listed under a legal name. That name can differ from its common one.

When a portal result and a paper notice disagree, keep the notice. Then call the clerk. Ask about the exact event, not just whether the case exists. A clerk can point you to the public channel holding the current entry. But a clerk cannot give legal advice. Only an official or certified copy establishes the court’s maintained text. It must come from the office that keeps the record.

Map and Directions to the Gray County Courthouse

Gray County District Court criminal, civil, domestic, probate, juvenile, and traffic records are kept at the Gray County Courthouse, 300 S. Main Street, in Cimarron. The building holds more than one county office, and an official county election notice places a courtroom on the second floor, though that does not mean every hearing sits on that floor.

Research did not confirm a Gray-specific counter cutoff, holiday calendar, parking map, security-screening rule, or ADA route; the common statewide judicial-branch hours of Monday through Friday, 8:00 a.m. to 5:00 p.m., are a planning estimate only. Calling 620-855-3812 before a trip, especially for a certified copy, transcript, or older record, is the safer plan.
